If your business uses Gmail, Drive and Google Docs, you probably already have Gemini. Since 16 January 2025 it has been part of the Business plans, with no extra licence. Summarising a long email, writing a draft, taking the minutes of a meeting: today that takes one click, and it works well.
This article belongs to our series of comparisons: the same six questions for every tool. We read Google’s information on 14 October 2026; the sources are listed at the end.
What you use today
In Switzerland, Google Workspace costs CHF 7.– per person per month on an annual plan for Business Starter, CHF 14.– for Business Standard and CHF 22.– for Business Plus; on a flexible plan it is CHF 8.40, 16.80 and 26.40. On Starter, Gemini works only in Gmail and Vids, and in a limited way there. From Business Standard upwards, Gemini is also in Docs, Sheets, Slides, Drive, Meet and Chat. For five people on Business Standard, that is CHF 70.– a month.
Where Google Workspace with Gemini is strong
Gemini sits where your team already works. It finds and summarises emails, writes drafts, revises texts in Docs, turns figures in Sheets into a chart and summarises files in Drive. In Meet it takes notes, in German, French or Italian too, one language per meeting. Gemini Notebook, formerly NotebookLM, answers questions about your own documents.
With Workspace Studio you build small agents (An AI agent carries out several steps of a defined task. A person decides before it sends anything outside your firm or spends money.) without code: an email arrives, Gemini summarises it, creates a task and posts in Chat. Studio also talks to Asana, Jira, Mailchimp or Salesforce, can call webhooks and runs custom steps in Apps Script. It comes with every Business plan.
On data protection, Google is clear. Your content is not used for training without permission, Gemini holds the usual certifications up to ISO 42001, and the data processing addendum names the Swiss Data Protection Act explicitly. If your team lives in Google, there is hardly a cheaper way to everyday AI.
Where Gemini stops
- Quiet between the documents. Gemini helps in the document that is open. The work in between stays with you: the invoice from Gmail into the accounts, the delivery note into the ERP, the figure from the PDF into the quote. Workspace Studio helps with simple routines, within limits: 25 flows per person, 20 steps per flow and a daily cap on runs.
- MCP (MCP (Model Context Protocol) is an open standard for connecting an AI harness to other software and data sources.) is still a preview. Google’s official MCP servers (A server is a computer that runs all the time and provides services to other devices, such as email, files or a website.) for Gmail, Drive, Docs and Calendar are open only through the Developer Preview Program; in Gmail, an agent there can write drafts but not send them. You connect your own MCP servers in Gemini Enterprise, a separate Google Cloud (The cloud means computers in a provider’s data centres on which programs run and data is kept, instead of on your own device.) product, and only once an admin enables them.
- No Swiss region (For cloud providers, a region is the area where the data centres that process your data are located, such as the EU or Switzerland.). As data regions, Google offers the US or the EU, not Switzerland. On Business Starter there is no choice. On Standard and Plus, the region covers stored Gemini data, not processing; that takes the Enterprise plans.
- The tools keep changing. Since 5 October 2026, skills (A skill is a written instruction for a specific AI task, such as checking invoice details.) have been replacing Gems in Workspace Studio; flows with an ‘Ask a Gem’ step stop running in March 2027. Whoever built on them builds again.
Workspace connected to our platform
The first way keeps your team in Gmail, Drive and Docs and gives Gemini a partner for the work in between. The Jules Solutions Platform reads and writes in Gmail, Drive and Sheets to the agreed extent, through Google’s interfaces. A flow in Workspace Studio calls the platform when a receipt needs reading, an exception needs judging or a system outside Google needs to be reached, such as Bexio or Abacus. Anyone working with Gemini CLI or another AI tool connects it through the MCP gateway.
The platform creates tasks, produces documents from your templates (A template is a prepared structure, for a document, an email or a folder for example, which you only complete for each case.) and writes results back into the sheet they came from. If it cannot read a receipt reliably, the workflow (A workflow specifies what information goes in, what happens to it and who checks the result.) hands it to a person instead of guessing. It sends an email to the outside world or a payment only once a person has decided, and every step is in the log (A log records what a program or an AI agent did and when, so that afterwards you can trace who triggered what and what happened.).
For five people: Operator System (Operator System is our package for teams at CHF 3'500.– to 5'000.–: the shared base with workflows for the team and connected systems.) as the shared base, CHF 3'500.– to 5'000.– once, with six months of Business seat (The Business seat is one person’s access to our platform (open alpha); Pro Setup includes three months, and with Operator System it is six per person.) per person; then CHF 199.– per person per month, or CHF 169.– billed yearly. You keep paying for Workspace as today.
The whole system
In the whole system, each person has a vault (The vault is a folder of your working files on your computer; we create it from the vault template.): working files and instructions, organised by PARA (PARA organises storage into four parts: projects, areas, resources and archives.) and readable in Obsidian (Obsidian is a note-taking program that shows a folder of text files on your computer as linked notes.). An AI harness (An AI harness is the workspace on your computer in which AI reads files and carries out agreed steps.) works in it, we recommend Claude Code (Claude Code is an AI harness made by Anthropic: it runs on your computer, reads files and carries out steps you describe in plain language.), and starts workflows with three to five commands (A command starts a defined workflow. In Pro Setup, we set up three to five commands for your work.), without anyone writing a prompt (A prompt is the input to a language model: the question, instruction or template the AI responds to.). What everyone needs lives in the shared project repository (A Git repository is storage for files that records every change with its date and author; GitHub is a well-known service for it.), with versions and someone who accepts changes.
Workflows run on your device, on a computer in the office, on our platform or with a cloud provider, as the quote sets out. We choose the language model (A language model is the actual AI behind an AI assistant: it has learned from a great deal of text and writes an answer to an input.) with you: in the cloud with providers in the US or the EU, or as an open-weight model (An open-weight model is a language model whose weights are freely available, so it can run on your own hardware.) on your own hardware. Gmail and Drive stay your place for mail and files, if you want them to.
The platform runs on our own infrastructure in Switzerland and is in open alpha (Open alpha means the platform is at an early stage: we use it ourselves, and it changes all the time.); we run our own company on it. For five people: Operator System plus one Pro Setup (Pro Setup is our recommended package at CHF 1'490.–: vault, workflows with AI agents, first integrations, an introduction session and three months of Business seat.) per person, CHF 10'950.– to 12'450.– once, with 60 days of follow-up support (Follow-up support means that questions and adjustments by email and phone are included for 30 days (Pro Setup) or 60 days (Operator System) after handover.), then the Business seats and model usage (Model usage means accessing an AI provider’s language model. The cost is not included in the setup price.).
| Question | Workspace with Gemini alone | Workspace with our platform | The whole system |
|---|---|---|---|
| Setup effort | Gemini already comes with the Business plan: minutes. Someone in the team builds the flows in Workspace Studio, on a computer. | Operator System, about 3 to 6 weeks. A flow in Workspace Studio calls the platform; the platform works in Gmail, Drive and Sheets. | Operator System plus one Pro Setup per person, about 3 to 6 weeks. We set up devices, vault, harness and workflows. |
| Where the data lives, privacy | Data regions only US or EU, no Switzerland; no choice on Business Starter. No training without your permission. | Google Workspace as today. The platform runs on our own infrastructure in Switzerland; the quote records what goes to which provider. | Platform in Switzerland, files on your device or on our infrastructure. The model runs in the cloud (US or EU) or on your own hardware. |
| Cost per month, a 5-person SME | Business Standard for five: CHF 70.– on an annual plan, CHF 84.– flexible. Gemini is included. | Workspace as on the left, plus five Business seats from month 7: CHF 995.–, or CHF 845.– billed yearly. One-off CHF 3'500.– to 5'000.–. | Five Business seats from month 7: CHF 995.– or CHF 845.–, plus model usage. One-off CHF 10'950.– to 12'450.–. |
| What you still do by hand | Everything between the documents: carrying receipts into the accounts, typing figures from PDFs, passing results on. | Starting and approving. The platform reads receipts and talks to your other systems. | Approving what leaves the firm or costs money. Workflows start by command, by email or on a schedule. |
| What stops when the subscription ends | After cancelling, Google deletes the data. Export first; the export needs a super admin and at least two days. | If Workspace goes, the platform stays reachable through another tool. If the Business seat ends, platform access ends; what is on your devices stays. | If your access ends, everything on your device stays and keeps working. The quote states what else keeps running. |
| Who owns the result | Mail, Docs and Sheets are your content and can be exported. Flows from Workspace Studio live with Google. | Your data, files and accounts belong to you. You receive a licence for the workflows we build. | Your code, your vault and your files belong to you. You receive a licence for the workflows we build. |
Google’s list prices for Switzerland per month, read on 14 October 2026. Business seats count from month 7, because Operator System includes six months per person. Model usage, other licences and expenses come on top.
Our verdict
If your team works in Google, use Gemini. It costs nothing extra, and it is good for emails, drafts and minutes. Take at least Business Standard, though, or Gemini stays stuck in Gmail.
But as soon as work goes back and forth between Google and your other systems, receipts, delivery notes, bookings, every flow in Workspace Studio becomes a tinkering project with limits. Then the first way is the smallest step: your team stays in Google, and the platform handles the in-between. The whole system pays off when your routines should not depend on one provider and you want to decide for yourself where your data lives.
