Where AI helps in your workflow, and where it does not.

Use the worksheets to map your workflow (A workflow specifies what information goes in, what happens to it and who checks the result.) and see where AI could help.

  1. AI is changing the work. The apocalypse is a separate claim

Every few weeks someone predicts the end of office work, often with a date. I checked what these forecasts actually say, what is established, who benefits, and what you can do this week instead of waiting.

  2. The copy-paste tax nobody budgets for

Somewhere in your business, a capable person is doing something a computer could do in less time than it takes to find the right browser tab. Here is how to spot this tax, how to work it out and how to stop paying it.

  3. Your AI agents need a job description

Many AI demos give an agent a goal, a mountain of tools and a heroic amount of optimism. You would never onboard a new colleague like that. Five lines of job description make the difference.

  4. What does AI automation cost an SME? Setup and running costs

What does an AI setup cost in its first year? See which charges are fixed, which depend on usage and how to include your team’s time. The worked example and worksheet help you calculate the cost of your own workflow.

  5. AI in a fiduciary office: where it helps and where it does not

Receipts arrive by email, as photos or on paper. AI can extract details, flag missing documents and suggest an account. Your staff check the suggestions before posting anything. Here is how to choose a first task and decide which client data the system may process.

  6. AI for SMEs: examine the work before choosing a tool

Before choosing an AI tool, follow one recurring task from start to finish. Where are details entered twice? Where does the task get stuck? Who approves the result? These questions help you see which step needs attention.

  7. Where does the time go? Examine one workflow

Where does a task get held up, and which steps keep repeating? Watch one workflow for a week. This worksheet helps you record the work before choosing a tool.

  8. Five questions before you commission AI automation

A quote tells you what a supplier proposes to build. It may not say who will look after the workflow or what happens when something breaks. Clarify these five points before you place an order.

  9. The cheapest solution might already be installed

You may not need another tool for that recurring task. Check the software you already pay for against the work you need it to do.

Your tool on its own, connected to our platform (The AI agents we build for your firm run on our platform. We host the platform in Switzerland; external models may process data elsewhere.), or as one whole system: twelve tools, the same six questions.

  1. Your team already writes emails, quotes and summaries with ChatGPT. Is more worth it? We compare ChatGPT Business on its own, connected to our platform, and as part of our whole system, with the same six questions.

  2. Copilot already sits in the ribbon of Outlook, Word and Teams. The question is not whether it helps but where its help ends. We compare Copilot on its own, connected to our platform, and as part of our whole system.

  3. Claude Code reads your files, writes, calculates and runs commands. Once you have seen it, you want more. We compare Claude on its own, connected to our platform, and as part of our whole system, with the same six questions.

  4. Zapier and Make connect thousands of apps without anyone writing code. Use them for a while, though, and you also know the meter, and the Zap only one person understands. We compare the two on their own, connected to our platform, and as part of our whole system.

  5. Your team has gathered its knowledge in Notion, and now the AI should work with it. It can, until the work leaves Notion. We compare Notion AI on its own, connected to our platform, and as part of our whole system.

  6. Your IT partner makes sure laptops, mail and backups work. On AI, they may say: ‘We can license Copilot.’ We compare the IT partner on their own, with our platform added, and our whole system, with the same six questions.

  7. Since early 2025, Gemini has come with every Business plan of Google Workspace. In the open document it helps straight away. Between the documents, where work moves from one system to the next, it goes quiet. We compare Workspace with Gemini on its own, connected to our platform, and as part of our whole system.

  8. n8n connects apps, runs code and builds AI agents, on your own server if you like. That is a lot of freedom, and then you run the server too. We compare n8n on its own, connected to our platform, and as part of our whole system.

  9. With Cursor, an agent writes in minutes what used to take a weekend. For people who code, that is a gift. We compare Cursor and similar tools on their own, connected to our platform, and as part of our whole system.

  10. Obsidian keeps your knowledge as files on your computer, and plugins bring AI into it. It is a good foundation; we build on it ourselves. We compare Obsidian with plugins on its own, connected to our platform, and as part of our whole system.

  11. Power Automate comes with Microsoft 365, and a first flow is quick to build. Things get interesting at the second connector, at the old program with no interface, and at the licence. We compare Power Automate on its own, connected to our platform, and as part of our whole system.

  12. Changing nothing is a decision too, and often a good one. Excel and Google Sheets are paid for, and everyone knows them. We compare the spreadsheets as they are, connected to our platform, and as part of our whole system, and work out when more pays off.

FAQ

Questions about using AI in an SME

Can you connect the setup to our existing software?

In many cases, yes. We have already connected Bexio, Abacus, a transport management system and the MS Access database of a hand-built system, among many others. We first check your own systems to see whether a connection is possible and worthwhile. If we cannot help with your project, we will tell you.

The interview asks which software you use, such as Microsoft 365, SAP, Abacus or Bexio, and whether any of it is already connected. The written quote sets out what we agree to connect and which Excel files the workflow will use.

Check what your existing software can do before adding a connection. Read ‘The cheapest solution might already be installed’.

Can AI send messages or make payments?

Not without a person’s approval (Approval means a person decides before an AI-prepared message goes outside your firm or money is spent.). Nothing we build sends a message outside your firm or spends money before a person has made the decision.

Where will our working files be after setup?

The working files in the installed vault (The vault is a folder of your working files on your computer; we create it from the vault template.) are on your machine. If you use a cloud model (The cloud means computers in a provider’s data centres on which programs run and data is kept, instead of on your own device.), its provider receives the content you send to it. We discuss which data you can use with it.

For confidential files, we assess whether a local or hybrid (Locally, the language model runs on your hardware; in a hybrid setup the working files stay local and only the excerpts needed go to a cloud model.) setup fits. We host our platform in Switzerland, but a cloud AI provider (An AI provider runs language models and sells access to them, for example OpenAI (ChatGPT), Anthropic (Claude) or Google (Gemini).) may process content you send it elsewhere. Before setup, we establish what goes to which provider. See ‘Data and processing’.

The written quote sets out how files are backed up, what availability you need and how you can retrieve your data.

Is this also for businesses outside trading and logistics?

Yes. If your team repeatedly copies details from emails and PDFs by hand, that work may be a good place to start with AI, whatever your sector. We know such tasks particularly well in commodity trading, logistics, forwarding, customs and compliance. The section ‘Four examples: what AI prepares and who checks it’ on the Solutions page shows four possible workflows.

What does setup cost?

Basic Installation (Basic Installation is our smallest package at CHF 490.–: an installed AI harness, a vault template and one or two basic workflows on your computer.): CHF 490.–. Pro Setup (Pro Setup is our recommended package at CHF 1'490.–: vault, workflows with AI agents, first integrations, an introduction session and three months of Business seat.): CHF 1'490.– (recommended). Operator System (Operator System is our package for teams at CHF 3'500.– to 5'000.–: the shared base with workflows for the team and connected systems.): CHF 3'500.– to 5'000.–, depending on scope. For a team, we recommend Operator System as the shared base, plus one Pro Setup per person. You pay once for setup. The interview and the call with Jules are free.

We give you a binding written quote before work begins. For Operator System, it states the exact price within the CHF 3'500.– to 5'000.– range.

You can compare the scope of all three packages on the Solutions page.
